lGlobal Search

Global Search provides a fast and efficient method to find records throughout the system or search for associated records, such as those tied to a given asset name, labor name, or part.

  1. Click the Global Search button Global Search icon on the toolbar, or select Tools > Global Search.

    The Global Search dialog box opens.

  2. Enter the value on which you wish to conduct a search.

    You can enter (or scan) a complete record value, such as a work order ID or asset ID, or enter a partial phrase, such as part of a technician’s name or an asset name. Users who have access to multiple repair centers can search across all of their accessible repair centers by selecting the All Accessible Repair Centers? checkbox.

    There is no need to enter wild card characters since global search looks for records in which the value is contained anywhere in the field.

  3. Click to execute the search.

    Maintenance Connection evaluates the following fields in each available module, looking for matching records.

    • Work Orders: Work Order #/ID, Reason/Description, Asset, Requester, Problem, Taken By, Assignee, Work Order Labor, Work Order Part.

    • Assets: Asset, Classification, Model, Asset Part, Serial #.

    • Parts: Part, Description, Internal Part Number, Vendor Part Number.

    • Purchase Orders: Purchase Order #/ID, Description, Vendor, Requester, Line Item Part.

    • Projects: Project ID, Name, Asset, Work Order ID.

    • Labor/Requesters/Contacts: ID/Name, Email.

    You can select Tools > Preferences > System > Settings to define which modules should be searched or whether inactive records should be returned.

    The page updates and displays a results table containing one row for each type of record that matches your search criteria.

  4. Select the row that corresponds to the type of record you are seeking.

    The List pane updates to display a Search tab for the specified module, containing a list of the matching records.

  5. Click a record to display it in the Work Center.

    The result set remains in the Search tab until you change the search or navigate to a different part of the system.

ClosedGlobal Search Examples

Parts: Entering or scanning a Part ID would return a row for the matching part, along with rows for all work orders with that part listed as estimated/actual parts, all purchase orders with that part listed in the line item details, and all assets with that part listed. It should be noted that a preference determines whether only active records (for example, open work orders and purchase orders) should be included in the results.

Assets: Entering an Asset ID (or asset name) would return a row for the matching asset, along with rows for all work orders linked to the asset, and all projects linked to the asset.

Labor: Entering a Labor ID or Labor Name would return a row for the labor record, a row for all work orders to which the individual is linked through assignments, requested/taken by, or estimated/actual labor, a row for any purchase orders to which the individual is linked, and finally, a row for any assets to which the individual is linked as Asset Labor.
